Integration and automation

The bill grows with the database. Not with the value.

HubSpot charges for contacts. Your business grows contacts whether or not it grows revenue, which is how a good product becomes an argument at renewal.

Four paths

Optimise, extend, integrate, or leave.

Most HubSpot consulting engagements end in the first one. We will tell you which you are in before anything is quoted.

01 — Optimise

Fix what you have

Most HubSpot problems are configuration, seat sprawl and lifecycle stages nobody agreed. Cheapest option and usually the right one.

Weeksand it often pays for itself in licences.
02 — Extend

Build alongside

Custom objects, a portal, or an application that reads and writes HubSpot through the API for the parts it will not model.

Monthswhen the gap is a module, not the platform.
03 — Integrate

Connect it properly

HubSpot stays as the marketing system, and the operational work moves to something that can hold it.

Weeks to monthswhen marketing is the part that works.
04 — Replace

Build your own

Only when the object model is the constraint and the contact-tier pricing has stopped making sense at your size.

Six months plusand rarely the first answer.
Symptoms

What outgrowing HubSpot looks like from inside.

01

The bill went up because the database grew, and nothing about how you use it changed.

02

Someone is deleting contacts before renewal to stay under a tier.

03

A workflow does four things because HubSpot will not let it branch the way the process actually branches.

04

The object you need does not exist, so a deal property is holding something that is not a deal.

05

Reporting stops at the boundary of what HubSpot knows, and the interesting question is on the other side.

06

Three integrations exist to move data HubSpot already has into somewhere it can be used.

Evaluation

Six questions before you renew or leave.

The last one decides everything, and almost nobody asks it.

01What is your contact count doing over the next eighteen months, at current growth? The tier boundaries are where the surprises live. Model the projection, not today.
02Which HubSpot objects are holding something they were not named for?Every one of those is a modelling gap being paid for in confusion.
03How much of your workflow logic exists outside HubSpot?Once it is spread across four tools, the total system is no longer HubSpot.
04What can nobody report on today, and why?Usually because the data lives in an object HubSpot does not have.
05Which paid seats logged in this month?Seat sprawl is the most common finding and the easiest to fix.
06Is the constraint the pricing model or the object model?Pricing is fixed by moving. The object model follows you to the next CRM.
The sequence

Five stages, and the audit comes first.

01

Audit the portal

the findings

Objects, properties, workflows, lifecycle stages, seats and integrations, with what depends on each. Written up whether or not we do the work.

02

Model the cost curve

the projection

What the bill looks like at your growth rate across the next four tier boundaries, so the decision is made on numbers rather than irritation.

03

Fix what is fixable

optimised

Lifecycle stages, property hygiene, workflow consolidation and seat rationalisation. Almost always the first release.

04

Decide the boundary

the line

What stays in HubSpot and what moves out, written down before anything is built alongside it.

05

Build or migrate

working

Either the module that fills the gap, or the migration, with HubSpot readable until the new thing is trusted.

Where this comes up

The shape of the database decides the pain.

B2B software and services

Long cycles where the deal object stops describing the relationship after the first renewal.

Professional services

Engagements rather than deals, and a pipeline that has to reflect capacity as well as demand.

Lending and financial services

Compliance and retention requirements that HubSpot was not designed to satisfy.

Home services

High contact volume with low value per record, which is the worst possible shape for contact-tier pricing.

Questions

What people ask about HubSpot consulting.

What does a HubSpot consultant actually do?

Audits the portal, fixes what configuration can fix, and tells you honestly when the platform is the constraint. Most engagements are property hygiene, workflow consolidation and lifecycle stages nobody ever agreed.

Why do companies outgrow HubSpot?

Two reasons. Pricing scales with contacts rather than value, so growth is punished. And the object model is fixed, so when your process needs a relationship HubSpot does not have, there is nowhere clean to put it.

What is HubSpot optimisation?

Reducing what the portal costs and increasing what it tells you, without changing platform. Typically seat rationalisation, property cleanup, workflow consolidation and reporting that finally answers the question being asked.

How much does HubSpot cost at scale?

It scales with marketing contacts, not usage. Enterprise tiers plus contact-tier increases add up faster than most teams model, and the boundaries are where the surprises live.

Can HubSpot handle a complex sales process?

Up to a point. Custom objects exist on Enterprise, but they are additions to a fixed model rather than a replacement for it. The ceiling arrives when the relationship you need is not one HubSpot has.

Should we migrate off HubSpot or optimise it?

Optimise first. Migration is a quarter of disruption and it does not fix a modelling problem — it moves it. Leave when the object model is the constraint, not when the bill is annoying.

How does HubSpot migration work?

Contacts, companies, deals, activities and properties export cleanly. Two things do not: workflow logic has to be rebuilt from documentation, and email engagement history is what people forget they will miss.

Do you take commission from HubSpot?

No. No commission, referral fee or partner margin on any software we recommend — which is what lets us tell you to stay on what you already have.
